Reconcile the return of an invoice

Manage and reconcile invoice returns step by step

When you receive a return related to an invoice, it may or may not be associated with a corrective sale. In both cases, you can manage the return from the bank reconciliation panel.

If the return involves a corrective invoice

  1. Click on the bank account where the transaction has been recorded.

  2. Click the Reconcile button (top right corner).

  3. Filter by Pending and locate the corresponding movement, for example: "Rectification", for -400 €.

  4. In the list of documents, filter by Corrective Purchases or Corrective Sales, according to the type of invoice.

  5. Check the box of the corresponding amending document.

  6. Click on Reconcile.

If the return does not involve a corrective invoice

In cases such as the return of a receipt or an invoice included in a remittance, it is not necessary to link a corrective invoice, but you must record a negative payment from the invoice for the transaction to be reconcilable.

  1. Access the invoice related to the return.

  2. On the right hand side, under Payments, click Add payment.

  3. In the Amount field, enter the amount in negative (e.g. -200).

  4. In Account, select the bank through which the refund was received.

    ☝🏼 It is important that it is the correct account so that it appears available when reconciling.

  5. Click on Save.

Once the negative payment has been recorded:

  1. Select the appropriate bank account and click Reconcile.

  2. Filter by Pending and locate the refund movement, for example: "Refund", of -200 €.

  3. In the list of documents, filter by Payments and select the negative payment you just recorded (e.g. “Invoice payment”, -200 €).

  4. Click on Reconcile.
