Tags let you mark, organize, and classify items such as contacts, products, documents, and journal entries within Holded. This makes it easier to look up and analyze the information you've added to the platform.
Thanks to tags, you can filter items in the listings where this option is available, or carry out a detailed analysis of your business.
Here are the items you can assign tags to, grouped by platform section:
Contacts: contacts.
Sales: sales invoices, quotes, proformas, services.
Expenses: purchases, payroll.
Inventory: products, sales orders, purchase orders, delivery notes.
Accounting: journal entries.
Create tags
To create a tag, follow these steps:
Click on your account at the top left and go to Settings.
In the “More” section, click on Manage tags.
Click on “+ Create tag”.
Give the new tag a name, and click the "Create" button.
☝🏼 Remember that tags must always be lowercase, and without symbols, accents, or spaces.
Creating tags when creating or editing elements
You can also create tags directly when creating or editing Holded elements, such as contacts, invoices, products, documents, journal entries, etc..:
In the creator (of products, invoices, documents, etc.), locate the section for tags
Type the name of the tags.
Press “Enter” on your keyboard to save them.
Use tags in filters
Go to any option in the navigation bar that has listings of items where filtering by tags is available (for example, journal entries, invoices, or contacts).
☝🏼 Note that not all listings (such as products) support filtering by tags. In these cases, you can use the search bar to find items by tag.
2. You'll find several ways to use tags in filters:
A. Option “+Filter”
The + Filter option lets you filter items in the listing by their main characteristics, type, way of organizing, etc.:
1. In the listing, click on “+ Filter”, and select “Tags”.
2. Use the search engine to select your tags.
☝🏼 You can also create tags from here. Type them in lowercase, with no symbols, accents, or spaces, and press "Enter" on your keyboard to save them.
B. Customize list option
Holded lets you customize the view of your sales delivery notes listing so that only the columns you're interested in appear (in this case, tags):
Go to any item listing, within Holded
Ve a cualquier listado de elementos, dentro de HoldedClick on the two-column icon ( ☷ ).
From the drop-down, select “Tags” to bring up the corresponding column in your listing.
Using tags in your Analytics reports
Using tags within the Analytics sections helps you to filter the information you have entered in the platform and get more detailed reports about your business:
Go to Analytics > Reports, in the navigation bar.
Under “Reports”, select the analytics section you need (e.g. Sales).
Click on “Add tags to filter” at the top right.
Search for a tag, then press “Enter” on your keyboard.
You will see the specific report, filtered according to the selected tags.
Frequently Asked Questions
Can I filter products by tags in Holded?
No. It is currently not possible to filter products by tags using list filters.
As an alternative, you can use the search bar to find products by typing the tag.
Why can’t I see the tag filter option?
The tag filter is only available in certain lists in Holded.
If you don’t see the option, it may be because that list does not support this type of filter.
Can I filter journal entries by tags in the General Ledger?
No. It's currently not possible to filter journal entries by tags from the General Ledger. You can, however, add the Tags column to the view to see and sort tags alphabetically, and use the General Ledger's search bar to find entries by entering the tag.
