Recover or permanently undo items sent to the Trash

In the Trash you will find the documents, contacts, and products deleted in Holded so that you can recover them in case of error. Once you have accessed the Trash, you will find the information organized by columns:

  • Deleted: the date and time the item was deleted is displayed.

  • Deleted by: the Holded user who deleted the item is indicated.

  • Description: here you will find the description of the item, to quickly identify it.

  • Category: indicates the Holded section to which the item belongs (Invoices, Contacts, or Products).


Retrieving a document from the Trash

☝🏼 Please note that, depending on the plan you are subscribed to in Holded, you will have a maximum number of recovery days.

1. Restore an item

  1. Go to Menu > Settings at the top right.

  2. Under the “More” section, click on “Trash”.

  3. Find the item you want and click on “Restore” on the right side of the list.

  4. Confirm the action. The item will reappear in its corresponding section.

2. Permanently delete an item

  1. Go to Menu > Settings at the top right.

  2. In the “More” section, click on “Trash”.

  3. Find the item you want and check the box for that item on the left.

  4. Click on the “Delete” option in the menu at the bottom.

  5. Confirm the action.

🚨 Once deleted, the item CANNOT be recovered.

3. Restore or delete items in bulk

You can restore or permanently delete several items from the Trash at once. Just follow these steps:

  1. Go to Menu > Settings at the top right.

  2. In the “More” section, click on “Trash”.

  3. Find the items you want and check the boxes for them on the left.

  4. In the menu that will appear at the bottom, choose the desired option:

    • Delete.

    • Restore.

  5. Confirm the action.

🚨 Once deleted, the item can NOT be recovered again.


What type of deleted information can be recovered?

Depending on their deletion mode, there are two types of items in Holded:

1. Items that go to the trash (can be recovered)

The items that when deleted go to the Holded recycle garbage can and, therefore, can be recovered, are:

  • Contacts.

  • Products.

  • Documents (invoices, quotes, purchases, delivery notes, orders).

Depending on your plan, these items will be stored in the trash for a different period of time:

Copy interval

Maintenance time

Premium / Advanced

120 days

Standard

30 days

Basic / Standalone Pro

10 days

2. Items that do not go to the trash (CANNOT be retrieved)

Excluding contacts, products, and documents, all other Holded items do not go to the trash and therefore are not recoverable. Do not delete any of these items unless you are certain that you will not need them later.

Some examples of non-recoverable items are projects, project tasks, accounting entries, employees, opportunities, activities, banks, payments, collections, remittances, bank transactions, contracts, expenses, sales funnels, activities, statuses before a mass product update, etc.

In short, any item that does not go to the trash, nor is it recoverable, nor can Holded provide a backup of it.
