Set billable rate by category, cost/hour per user, and billing and budgeting preferences by project

From the general billing and budget settings of the Projects area, you can 

  1. Set the generic default billable rate and cost per hour per user for your projects, serving as a reference when calculating hours on your invoices.

  2. Enter default rates by category for your projects, used in the calculation of hours when assigning projects to invoices.

Thus, when your employees record their working hours, both the cost of the time spent on the project and the billable rate will be automatically calculated. Furthermore, after making these adjustments, you will be able to generate estimates or invoices in relation to the time record and the hourly rate/cost per hour established for each of your projects.

☝🏼 Remember that, in addition to the general settings (which apply to all your projects), Holded allows you to set up project-specific billing and costing. This specific configuration takes priority over the general configuration.


Billable rate per user

In this section you can set the default hourly rates and cost per hour for each of the users and, therefore, each of the potential team members involved in your projects in a generic way.

When you make the hourly registration, the costs and rates allow you to convert the registered hours into invoices. You will be able to perform this action from each of your projects in Holded:

  1. Click on your account, top left, and go to Settings.

  2. Under Projects, click on Invoicing and quotes.

  3. Under “Billable rate per user”, enter the billable hourly rate and cost/hour for each of your users.

  4. Click the “Save” button at the top right to register your changes.

To modify/edit the established costs and rates, simply re-enter them in the corresponding field per user and click “Save” again.

Modifying an employee's rate or cost/hour will not change the cost/rate of the previously recorded hours. The new rates and costs will be posted for future hours.


Billable rate by category

Holded provides you with default categories so you can set generic billable hourly rates directly. You will be able to edit them, or add others, as well as choose between them within your projects and indicate the hours spent:

  1. Click on your account, top left, and go to Settings.

  2. Under Projects, click on Billing and Budgets.

  3. Under “Billable rate by category” at the bottom.

    • Keep the predefined name for the category, or edit it.

    • Set the color of the category.

    • Indicate whether it is a billable category or not by means of the selector (when activated you can generate invoices for such categories; it is activated by default).

    • Enter the billable hourly rate.

  4. Click the “Save” button at the top right of the screen.

☝🏼 To add new categories, click + New type in the upper right corner of this panel. To delete a category, click on the trash can icon on the right side of the panel.

You will be able to invoice the client for the recorded labor hours from the Invoicing tab, in the corresponding project. In addition, within each of your projects, you can modify the categories and rates set from Settings > Billing. These changes will not affect the rates set in the general settings.
