Customize, filter, segment, and perform mass actions on your list of waybills

1. Customize the list of waybills

Holded allows you to customize the view of your list of sales receipts so that only the columns that are of interest to you appear:

  1. Click the double column icon ( ☷ ):

  2. These are the fields you can customize:

    By default, the Num, Date, Destination, Tags, Description, Channel, Warehouse, Payment Date, Units, Subtotal, Total, Invoiced, Stage, Invoiced fields will appear

    • Num : the document number of the waybill

    • Date : the date of issuance of the waybill

    • Destination : name of contact or warehouse to which the shipment is addressed

    • Shipping: shipping address

    • Tags : the tags to easily filter your waybills

    • Description: the concept of the first line of the waybill

    • Channel : associated account

    • Warehouse: the warehouse assigned to the waybill

    • F. Payment: the payment method

    • Units: the number of product units contained in the waybill

    • VAT: the total amount of taxes on the waybill

    • Withholding: the total amount of withholdings on the packing slip

    • Rec. de eq: the equivalence surcharge, that is, the total amount of the special VAT regime that is mandatory for retailers that do not transform the products that sell

    • Subtotal: the sales price without tax

    • Total: the total amount of the waybill, including taxes

    • Billed: the total amount paid

    • Stage : the custom logistics phase the waybill is in

    • Billed: status of the same ( Pending, Accepted, Cancelled, Billed)

2. Filter and segment waybills

2.1. Filter waybills with the search engine

Whenever you need to find a particular waybill, you can use the search engine by typing the name or number of the waybill, or a specific word, so that it appears in the list:

2.2. Filter waybills by date

If you want to get information about the waybills in a certain period of time, you can use the date range selector and filter the documents by year, month, quarter, or custom dates:

2.3. Filter waybills with predefined filters

In the list of waybills you have at your disposal predefined filters to get a more detailed view of your waybills and find exactly what you are looking for at that moment:

You can filter your waybills by:

  • Billed: No / Yes / Partially

  • Email: Not sent / Sent / Read

  • Subtotal: the sales price without tax (or tax base). Greater than / Less than / Equal to

  • Sales Channel: the distribution channel, such as an online store, that allows you to segment your sales by channels

  • Pipeline: the stage custom logistics in which the waybill is

  • Document numbering: the type of numbering that you have created

  • Draft: the waybill is Yes or No in draft

  • Payment method: the payment method

Once you have selected the filters you need, you can click "Save Segment", and your search preferences will be saved as a custom filter among the predefined segments.

2.4. Filter sales waybills by segments

The option to filter by segments will allow you in this case to filter the waybills by status:

Remember that between the segments, the custom filters that you have saved will also appear

💡 You can filter by segment Pending + Not invoiced and export your waybills pending collection to keep track

3. Perform mass actions on waybills

  1. In the list, check the box of those waybills on which you want to perform the action:

    💡 By checking the box in the header, next to the Num column, all the waybills in the list will be selected

In the lower pop-up menu, select the action to perform from the available (this will be applied to all selected waybills):

  • Drive: send the PDF of the waybills to Google Drive.

  • F. payment: assign a new payment method to the waybills.

  • Approve: accept the waybills.

  • Status: apply a change in the status of the waybills (Pending, Accepted, Cancelled) or in the billing status (Not invoiced, Invoiced).

  • Assign sales channel: assign a new sales account that allows you to segment your sales by channels.

  • Send: send the waybills en masse to the email of the contact and contact persons. Emails will only be sent for waybills that have contacts with an assigned email. You can select up to 500 waybills to send them in bulk by mail and an email will be sent for each waybill. At the moment, it is not yet possible to send a single email with several waybills.

  • Convert: convert to another document (Invoice, Sales Ticket, Proforma) those waybills assigned to the same contact:

  • Download PDF: download all the PDFs of the selected waybills. You can download up to 50 waybills at a time, saved in a ZIP file.

  • Delete: delete the waybills from the list. You can delete up to 500 waybills at a time. You will be able to recover them from the trash but only during a period of time determined by your plan (between 10 and 120 days). Learn here how to restore a waybill from Trash
