Reconcile transactions with different sign

When the balances of your invoices do not match, before reconciling, it is important that you can clear the invoices to avoid errors, whether they are original invoices or corrective invoices.

If, for example, you have a transaction that includes a purchase and a credit memo, or a sale and a return together, you will need to reconcile the transaction. This way, you will avoid unintentional errors and your accounting will be consistent.

To reconcile transactions with different signs (for example, a sales invoice and a return invoice), you need to match the invoices that have not yet been paid in your bank account with those that have the same sign as the transaction. For example, if you have ten sales invoices and one return invoice, you need to match the return invoice to a sales invoice. This ensures that everything is correct in your records.

Relate invoices and reconcile

To match an invoice to a transaction and reconcile, follow these steps:

  1. Go to Sales > Invoices or Purchases > Invoices, depending on what you need.

  2. In the list, click on the original invoice you want to reconcile.

  3. In the right side panel, click Add payment.

  4. At the bottom, select Relate to an existing payment (you will see a magnifying glass icon).

  5. Select the amendment sale you have previously generated.

  6. Click on Confirm.

Once you have cleared the invoices, the outstanding amount of the invoices will be included in the movement and will match the amount of that movement.
