First of all:
Go to Contacts
Opens the three-dot menu ( ⋮ ), top right
Select Import
This template works for Company type contacts. If what you need is to import data of people, you will have to select the template Import contact persons.
Import contacts
To carry out this process correctly, you have at your disposal a CSV/Excel template that you simply have to download, fill out and upload again to the platform.
1. Download the import template
Open the import modal as explained above
Download the template in CSV/Excel to see the import format
Opens the downloaded document so you can work on it
2. Fill in the template
Fill in the fields indicated below. Those that are essential have been marked with an asterisk (*).
Fiscal name* | Contact record name to import |
Trade name | Refers to the name by which the contact's business or company is known |
Contact person | You can include this contact in the emails you send to the company in question. Remember that you can only enter one contact in this field. |
Contact ID* | This is a required field. It is of the utmost importance that you enter the NIF respecting capital letters and spaces. |

Phone | Landline phone number of the contact |
Mobile | Mobile phone number of the contact |
Address | Contact address |
Population | Population name |
Postal code | Contact Zip Code |
Province | Contact province name |
Country | Contact country name |
IBAN | It is necessary in case you want to make remittances |
SWIFT | Also called BIC. This is the bank identification code of the contact |
Command Ref | It will be included in the contact file and you can use it to remit invoices |
Notes | Include any comments or notes about that contact |
Tags separated by - | These are tags that will help you identify the contact's documents within Holded |
Sales channel account | Add the account based on the type of activity you have with the contact. You can find the numbering corresponding to the sales account from Settings > Billing > Sales and Shopping . |
Sales channel name | Indicates the name of the sales channel |
Expense Account No. | Specifies this type of account if it is a provider. You can find the numbering corresponding to the expense or purchase account from Settings > Billing > Sales and Purchases . |
Expense account name | Indicates the name of the expense account if it is a supplier |
Client/debtor account | In the case of leaving these fields blank, Holded will fill them in automatically when creating the first sales invoice with the contact. This field is not required, but it is a good idea to specify it on import. |
Supplier/creditor account | If these fields are left blank, Holded will fill them in automatically when creating the first purchase invoice with the contact. This field is not required, but it is a good idea to specify it on import. |
Type of contact | Choose between No Specify , Customer , Supplier , Lead , Debtor , Creditor . It is not a mandatory field, but it is quite important to report it so that it is well reflected on the platform. |
Regime | In the Excel document column you will have to specify the regimen with one of the following values : intra (intra-community), general (general), impexp (import / export), nosujeto (not subject), exempt (exempt), receq (equivalence surcharge). This information will be reflected in Operation in the Accounting section of the contact. |
Sales Tax | It will be the tax that appears by default in all your sales documents with this contact (for example, VAT 21%). We recommend that to enter this tax go to Settings > Billing > Taxes in Holded and copy the code that appears in the Key column for that tax (s_iva_21, s_iva_10, etc.). Similarly, remember that if you want to include both tax and withholding, you can add both in this column using a comma and not including spaces. For example: s_iva_21,s_ret_19 |
Purchase taxes | It will be the tax that appears by default in all your purchase documents with the contact (for example, VAT 10%). We recommend that to enter this tax go to Settings > Billing > Taxes in Holded and copy the code that appears in the Key column for that tax (s_iva_21, s_iva_10, etc.). Similarly, remember that if you want to include both tax and withholding, you can add both in this column using a comma and not including spaces. For example: p_iva_21,s_ret_19 |
Currency | Type the currency reference code as it appears in the contact's Preferences |
Language | Type the exact name as it appears in the contact's Preferences |
Payment method | You must include the API KEY of the payment method . First generate the Key from Settings > Developers > + New API Key . To finish, go to Settings > Billing > Payment Methods and click on the corresponding payment method. In the pop-up window, copy the API code that you will find at the bottom next to the plug symbol. |
Maturity | This is the default expiration period that will be entered automatically when you create an invoice for this contact |
Fee | Special prices assigned to the contact in question |
Discount | The discount rate applied to this contact |
Custom Fields | These fields must be created in Holded beforehand. They are used to include personalized information in the tab of each contact and will add additional columns to the Excel document. |
3. Upload the template information
From Contacts , access back to the three-dot menu ( ⋮ )
Click Import
Press the Upload File
button
Select the spreadsheet with the filled in fields that you previously saved
Confirm the action
Update your contact information
If what you need is to massively update the data of your contacts or their shipping address, simply go to Menu > Import > Contacts , select the corresponding template and follow the same steps.
