How to configure columns and statuses in Kanban or Sprint projects

Customize the columns of your Kanban or Sprint board and define which status each task adopts at every stage

In projects that use Kanban, Sprint, Backlog, or Bug tracking boards, you can configure how columns are organized and which status is automatically assigned to tasks when they move between columns.


How to access column settings

  1. Go to Projects.

  2. Open the project you want to configure.

  3. Click Configuration.

  4. Select one of the following options, depending on the project type:

    • Sprint columns

    • Kanban columns

☝🏼 Remember that you can create and manage task statuses from Settings > Projects > Preferences in Holded.


Add a new column

To add a new column or list:

  1. Scroll to the right side of the board.

  2. Click New list.

  3. Enter the name of the list.

  4. Click Add list.

Once created, you must assign a status to the column so that tasks moved to it are visible.


Change the order of columns

To reorder the project phases:

  1. Click the three-line drag icon located on the left side of the column.

  2. Drag the column to the desired position.


Assign statuses to a column

Each column must have a task status associated with it. When a task is moved to that column, it automatically adopts the assigned status.

To assign a status:

  1. Go to the corresponding column.

  2. Click + Add status.

  3. Select the status you want to associate.

⚠️ A status can only be associated with one column at a time.

If a status is already assigned to another column, you must remove it before assigning it again.

To remove a status, click the delete icon next to it.


Delete a column

To delete a list or column:

  1. Click the three dots (…) on the right side of the column.

  2. Select Delete list.


Frequently asked questions about columns and statuses in projects

Why can’t I configure the columns in my project?

Because this option is only available in projects that use Kanban, Sprint, Backlog, or Bug tracking boards.

If your project does not include a board view, this configuration will not appear.


Why aren’t tasks visible after moving them to a column?

Because the column does not have an assigned status. You must associate a status with the column for tasks to be visible when moved there.


Can I use the same status in multiple columns?

No. Each status can only be associated with one column at a time.


Where can I create new task statuses?

From the general project settings in Holded (Settings > Projects > Preferences).
