Archive, delete, and transfer list or project tasks

Change the order or list of tasks

If you want to visually prioritize certain tasks within a list, you can change their order by following these steps:

  1. Go to Projects > Projects in the sidebar.

  2. Click to access the corresponding project.

  3. Go to the “Board”, “Kanban board”, or “Backlog” tab within the project:

    • Drag the tasks within the same list, from top to bottom, or bottom to top, until you achieve the order you want.

    • Or, move the tasks to the list where you want to include them, within the same project.

      ☝🏼 Alternatively, within the 'Backlog' tab, you can also right click on the task, and select the option “Send to backlog”, or “Send to To Do”, as appropriate.


Transfer tasks to another project

At some point, you may need to transfer tasks from one project to another. Here's how to do it:

  1. Go to Projects > Projects in the sidebar.

  2. Click to access the corresponding project.

  3. Access the 'Board', 'Kanban board', or 'Backlog' tab within the project.

A. Transfer tasks individually

  1. Click on the task you want to transfer.

  2. Access the three-dot menu (⋮) at the top and select 'Transfer task'.

  3. Use the drop-downs to choose the target project and listing, as well as the status and type of the task in its new location.

  4. Click “Transfer task” to confirm the action.

B. Bulk transfer all tasks in a listing

  1. Access the three-dot menu (⋮) at the top of the listing and select “Transfer tasks”.

  2. Use the drop-downs to choose the destination project and listing, as well as the status and type of the tasks in their new location.

  3. Click “Transfer tasks” to confirm the action.

C. Bulk transfer tasks from different lists

  1. Select those you wish to transfer, clicking on each of them while pressing the Command key (Cmd / ⌘) on Mac, or Control (Ctrl), in the case of Windows (or press the “Shift” key for the selection of several successive ones).

  2. In the menu that will open at the bottom, click “Transfer”.

  3. Use the drop-down menus to choose the project and the destination list, as well as the status and type of the tasks in their new location.

  4. Click “Transfer tasks” to confirm the action.


Delete tasks

  1. Go to Projects > Projects in the sidebar.

  2. Click to access the corresponding project.

  3. Right-click on the task.

  4. Select the “Delete” option.


    ☝🏼 Only the account administrator or the task creator can delete a task.


    An alternative route would be to click on the task and, from the pop-up window, go to the three-dot menu (⋮) and click “Delete”.

Delete tasks in bulk

To delete several tasks in bulk, select the ones you want, according to:

  • “one at a time” selection: click on each one while pressing the Command (Cmd / ⌘) key on Mac, or Control (Ctrl), in the case of Windows.

  • Selecting several successive ones: select the first one by pressing the “Shift” key, and then press “Shift” again on the last one in the series.

In the menu that will open at the bottom, press “Delete”.

☝🏼 Note that deleted tasks will NOT go to the trash, i.e. you will not be able to recover them.


Archiving tasks

  1. Go to Projects > Projects in the sidebar.

  2. Click to access the corresponding project.

  3. Right-click on the task.

  4. Select the “Archive” option.


    ☝🏼 Alternative route: click on the task and, from the pop-up window, go to the three-dot menu (⋮) and click “Archive”.

Archiving tasks in bulk

To archive several tasks in bulk, select the ones you want, according to:

  • “one at a time” selection: click on each one while pressing the Command (Cmd / ⌘) key on Mac, or Control (Ctrl), in the case of Windows.

  • Selecting several successive ones: select the first one by pressing the “Shift” key, and then press “Shift” again on the last one in the series.

In the menu that will open at the bottom, click “Archive”.
