When you create a project, you can adjust different parameters that affect its functionality, visibility, and invoicing: name, status, start and end dates, privacy, etc.

To do so:

  1. Go to Projects.

  2. Open the project where you want to set the configuration.

  3. Click Configuration > General (top right).

☝🏼 Only users with the Owner or Administrator role for that specific project can access the Settings tab.

  4. Edit the fields as needed:

    • Name, color and icon: used to visually identify the project.

    • Description: add context or internal details.

    • Status: indicates the current situation of the project (In progress, Completed, Cancelled, On hold or Budgeted).

    • Start date and end date: indicate the start and closing dates of the project.

    • Key: enter a prefix that will serve as a reference in the tasks associated with the project. This will be added to the title of each task.

    • Assign project to a contact: required if you want to invoice the project.

    • Tags: add labels to filter and find your projects more easily.

    • Template: indicate the type of template used when creating the project.

    • Privacy: define whether the project is public or private.

    • Notifications: send email alerts when members are added or tasks are assigned.

    • Time entry review: indicate whether you want to automatically approve the time entries logged for this project.

    • Task reference: indicate whether you want to hide task references.

    • Tasks: check this option if you want tasks for this project to be created only through forms.

  5. When you finish editing, click Save.

Frequently asked questions about the general configuration of a project

Why can’t I invoice a project?

Because it does not have an assigned contact. You must assign it from the general configuration in order to generate invoices linked to the project.

Can I change the project status at any time?

Yes. You can modify it from Configuration > General, even if the project has already started.

What is the difference between a public and a private project?

A public project may be visible to more users within the account. A private project is only accessible to the members added to it.

What does the project key do?

It adds an automatic prefix to the name of the project’s tasks. It helps you quickly identify which project each task belongs to.

What happens if I enable automatic time entry review?

Time entries will be approved automatically. If you do not enable this option, they will need to be reviewed manually.
