1. Start the integration
Go to Holded Store, from your account menu, in the top left corner.
From the "Integrations" tab, click on "WooCommerce".
Once WooCommerce is selected, click "Activate": the WooCommerce icon will appear in the left menu, under "Integrations".
Click on "Connect and configure" and, in the pop-up panel, click again on "Connect and configure".
In the WooCommerce configuration modal click on "Download WooCommerce Plugin".
Once downloaded, go to Menu > Settings > More > Developers.
Click on the "+ New API Key" button and create a new key.
In your WooCommerce account, go to the "Plugins" tab and upload the folder of the plug-in you downloaded from Holded.
Copy the API key into the plug-in settings section.
Click on "Save".
Once you have activated the plug-in in WooCommerce and start receiving your orders in Holded, you may need to import the customer's VAT number. For this reason, you will need to download the following plug-in and install it in your WooCommerce account. For a correct synchronisation of the VAT number, we recommend that you check the "Shipping field required" and "Validate field" boxes in the plug-in configuration.
2. Complete the integration
Select WooCommerce from the Holded Store and click "Activate".
Enter the first part of your WooCommerce URL (usually the name of your shop).
Click "Settings" to open the sync window with the 4 sections:
Sales:
Follow these steps to set up how to import your orders:
1. Fill in the basic details:
Convert to: select how you want to convert your orders between Sales Order, Sales Ticket, or Sales Invoice.
Sales account: select the sales account you want to link to your orders.
Payment methods: link your WooCommerce payment methods to the banks or gateways you have added to your Holded account.
Select the Advanced settings option to define things like document numbering and accounting accounts:
Create contact: check this box if you want to create a new contact in Holded each time an order is imported.
Bank: select the payment gateway associated with your sale.
Template: if you have configured a document template, click on the drop-down menu to select it.
Manual account number: tick this box to select a unique account number for all your created contacts.
Add order number in notes: tick this box if you need order numbers to appear in the notes of your documents.
Default tax: Check this box to apply the configured tax in case WooCommerce shows empty or 0% tax.
Automatic tax adjustment: by checking this box the system will apply an automatic rounding so that the invoice amount in Holded is the same as in WooCommerce.
If not activated there may be a difference of cents due to different rounding methods being applied between the two platforms.Show shipping address: check this box if you want the shipping address to be shown in the document generated in Holded.
Link contact by ID: tick this box if you want your contact in Holded to be linked to the WooCommerce ID.
Document numbering: select from the drop-down menu which numbering you want to apply from those previously configured in Holded.
Import payment method: tick this option if you need the payment method to be the same as in WooCommerce.
Products
Click on the drop-down menu to select if you want to import your products.
Stock Level
Click on the drop-down menu to select if you want to synchronize your stock.
Warehouses
Click on the drop-down menu to select the warehouse where you want to register your stock movement.
After following these 4 steps, click the "Save" button at the top right of your screen.
Click on the Synchronize button at the top right of your screen every time you need to update the data.
Delete my WooCommerce shop on Holded
If you want to delete your WooCommerce shop on Holded, follow these steps:
First, in WooCommerce, go to Plugins > Installed Plugins.
Locate 'Holded', click "Deactivate", then click "Remove".
Once this is done, generally, the shop will disappear from the Integrations section of your Holded account. However, sometimes the shop from which the plugin has been removed will still be listed in Holded. In this case, do the following:
In Holded, go to Settings > Integrations > WooCommerce.
Go to "Settings".
Go to the bottom, and click on "Delete shop".
Repeat this operation with the rest of the shops.
☝🏼 Remember that deleting the shop will delete the data and settings associated with it, so be sure to back up any important information before doing this process.
