WooCommerce: how to integrate with Holded

Follow these steps to synchronize all the information of your WooCommerce online store with Holded

1. Start the integration

  1. Go to Holded Store, from your account, at the top left.

  2. From the "Integrations" tab, click on "WooCommerce".

  3. Once WooCommerce is selected, click "Activate": the WooCommerce icon will appear in the left-hand menu, under "Integrations".

  4. Click "Connect and configure" and, in the pop-up panel, click "Connect and configure" again.

  5. In the WooCommerce configuration modal, click "Download WooCommerce Plugin".

    ☝🏼 Keep in mind that if you've already downloaded the plugin before, it may be downloaded with the name followed by (1). It's important that the plugin is uploaded without the (1), but with its original name.

  6. In your WooCommerce account, in the "Plugins" section, click "Add New Plugin", and upload the plugin folder you downloaded from Holded.

  7. Once you have the Holded plugin installed in WooCommerce, in your Holded account go to Settings > Developers > Credentials.

  8. Go to the API Keys v1 option and copy the Holded API Key that appears first in the list. It's important that it's the first API Key, since you may have several created, but the one used to sync with WooCommerce must be the first one on the list.

☝🏼 If you don't have one yet, create a new one using the "+ New API Key" button. Keep in mind that it must be a V1 API Key, since that's the API version used to sync WooCommerce with Holded.

9. In WooCommerce, go to Settings > Integrations > Holded, and paste the API key into the field provided.

10. Click "Save" and check that the key has been saved correctly.

☝🏼 Once you've activated the plugin in WooCommerce and start receiving your orders in Holded, you may need to import the customer's Tax ID (NIF). For this reason, you'll need to download the following plugin and install it in your WooCommerce account. For correct syncing of Tax IDs, we recommend checking the boxes "Required shipping field" and "Validate field" in the plugin's settings.

2. Complete the integration

  1. Select WooCommerce from the Holded Store and click "Activate".

  2. Enter the first part of your WooCommerce URL (usually the name of your shop).


  3. Click "Settings" to open the sync window with the 4 sections:

    • Sales:

      Follow these steps to set up how to import your orders:

      1. Fill in the basic details:


      • Convert to: select how you want to convert your orders between Sales Order, Sales Ticket, or Sales Invoice.

      • Sales account: select the sales account you want to link to your orders.

      • Payment methods: link your WooCommerce payment methods to the banks or gateways you have added to your Holded account.


      Select the Advanced settings option to define things like document numbering and accounting accounts:


      ☝🏼 Keep in mind that when you create the integration with WooCommerce, draft mode will be automatically enabled by default on your account. This means that invoices and sales documents generated from WooCommerce will initially be created as drafts in Holded, and you'll need to approve them later for them to become final. If you'd rather have them uploaded as approved, you can enable the Automatically approve documents option.

    • Products

      Click the drop-down menu to choose whether you want to import your products. Note that the import is unidirectional, i.e. products are transferred from WooCommerce to Holded, but not the other way around.

      ☝🏼 You can customize which fields you want to sync using the Select fields to sync option.

    • Stock Level

      Click on the drop-down menu to choose between:

      • I want to synchronize stock levels (bidirectional): any change in the stock of a product on one of the two platforms (by order, manual adjustment or import) will automatically update the stock on the other, as long as the SKUs match.

        Example: if you have 88 units on Holded and 77 on WooCommerce, and you sell 1 on WooCommerce, its stock drops to 76. That same number (76) is updated in Holded, adjusting the total on both platforms.

      • I don't want to synchronize stock levels (unidirectional): stock is only deducted in Holded when an order is processed in WooCommerce.

        Example: if you have 88 units in Holded and 77 in WooCommerce, and you sell 1 in WooCommerce, Holded only subtracts that sold unit and remains at 87, without matching the total with WooCommerce.

    • Warehouses

      Click on the drop-down menu to select the warehouse where you want to register your stock movement.


  4. After following these 4 steps, click the "Save" button at the top right of your screen.

Click on the Synchronize button at the top right of your screen every time you need to update the data.


Delete my WooCommerce shop on Holded

If you want to delete your WooCommerce shop on Holded, follow these steps:

  1. First, in WooCommerce, go to Plugins > Installed Plugins.

  2. Locate 'Holded', click "Deactivate", then click "Remove".

Once this is done, generally, the shop will disappear from the Integrations section of your Holded account. However, sometimes the shop from which the plugin has been removed will still be listed in Holded. In this case, do the following:

  1. Go to "Settings".


  2. Go to the bottom, and click on "Delete shop".


  3. Repeat this operation with the rest of the shops.

☝🏼 Remember that deleting the shop will delete the data and settings associated with it, so be sure to back up any important information before doing this process.
