Personalize, filter and segment, and perform bulk actions on your task list

1. Customize the task list

Holded allows you to customize the view of your task list so that only the columns that are of interest to you appear:

  1. Click on the two-column icon (☷).

  2. Check the boxes for the columns you want to be displayed in the task listing.

    ☝🏼 By default, they will all be checked:

    • Key: the task identifier code.

    • Name: the name or title of the task.

    • Status: the status of the task.

    • Type: the specific type of task.

    • Project: project related to or including the task.

    • List: the list the task belongs to within the project.

    • Start: start date assigned to the project.

    • End: due date assigned to the project.

    • Priority: informs about the relevance of the task. For example: High, medium or low.

    • Story points: refer to the numerical unit to define the task's difficulty.

    • Comments: number of comments included in the task.

    • Files: number of files added to the task.

    • Assigned: number of members assigned to the task.

    • Tags: the tags assigned to the task will be displayed.

    • Archived: this tag will be displayed for the projects you have archived.

When you are done, simply click out of the selection menu and the changes will be applied automatically.


2. Filter and segment tasks

2.1. Filtering tasks with the search engine

Whenever you need to find a particular task, you can use the search engine by typing the name or number of the task, or a specific word from the list.

2.2. Filtering tasks with filters

In the task list you have predefined filters at your disposal to get a more detailed view of your tasks and find just what you are looking for at the moment:

  1. Click on “+ Filter”.

  2. Select one or more of the available filters:

    • Tags: apply this filter to view those tasks that contain particular tags or labels.

    • Status: filter by task status: All, To do, New, Rejected, Duplicate, In progress, Done, Testing, Verified.

    • Assigned: filters by the person to whom the task has been assigned.

    • Informant: filters by the person marked as informant.

    • Active: select Yes or No to filter by active and inactive tasks.

    • Archived task: select Not archived or Archived to filter by tasks that have or have not been archived.

    • Project: filter by the project the task belongs to.

    • This project is archived: select All, Archived, Not archived to filter by project status.

    • Type: filters by task type: All, Task, Story, Epic, Bug

    • Priority: filter by priority: Very low, Low, Medium, Medium, High, High, Very high, All

    • Story points: indicates whether the numerical unit referring to the story points is Equal to, Greater than, or Less than a specific number.

    • Creation date: indicates whether the creation date is Equal to, Greater than, or Less than a given date.

    • Resolution date: indicates whether the resolution date is Equal to, Greater than, or Less than a given date.

    • Start Date: indicates whether the start date is Equal to, Greater than, or Less than a given date.

    • End Date: indicates whether the end date is Equal to, Greater than, or Less than a given date.

Custom filters

To create a custom filter, once you have selected the filters you need, click “Save segment”; assign a name, and click “Ok”.

The new segment with your search preferences will be accessible from the drop-down menu, so you can easily select it when needed.

2.3. Filtering tasks by segments

To filter by segments, follow these steps:

  1. Go to the drop-down menu, top left.

  2. Select the default segment you want to display.

    • All: All tasks generated in the project set will be displayed. Without applying any specific segmentation.

    • Active: only active tasks will be displayed.

    • My tasks: the tasks assigned to you will be displayed.

    • Archived: only tasks that have been archived will be displayed.

☝🏼 Remember that between the segments, the custom filters you have saved will also be displayed.


3. Perform mass actions from the task list

  1. In the list, check the box of those tasks on which you want to perform the action.


    ☝🏼 Checking the checkbox in the header, next to the Num column, will select all the tasks in the list.

  2. In the pop-up menu below, select the action to perform from those available (this will apply to all selected tasks):

    • Archive: archived tasks will appear in the listing labeled 'Archived' in the column with the same name.

      You can unarchive tasks by checking their checkbox again, and, in the pop-up menu below, select “Unarchive”.

    • Delete: delete tasks from the list. You can delete up to 500 at a time.

      ☝🏼 Note that deleted tasks do NOT go to the trash, i.e. you will not be able to recover them.
