Why aren't my orders being imported?

Check if the order status in WooCommerce is labelled as Completed.


Can I import orders from previous years from WooCommerce to Holded?

Yes, it is possible to synchronise orders from the current and previous year in Holded. For example, in 2022 you can import orders from 2022 and 2021. However, please note that the Holded integration does not work retroactively. If you want to synchronise older orders, you will have to force their entry by following these steps:

Option 1: Bulk sync orders

To bulk sync orders older than last year, follow these steps:

  1. Go to WooCommerce > Settings > Integration > Holded.

  2. Click on the period you want to sync to bulk import past orders.

    ☝🏼 Please note that when you do this, all the data in Holded will be overwritten by the information in WooCommerce.

    If you have a high volume of orders, we recommend syncing quarter by quarter rather than a whole year at once.

You can also import old orders using our import templates.

Option 2: Temporarily update the status

The second option is to temporarily update the status of an order to force it to be imported:

  1. Go to WooCommerce > Settings > Integration > Integration > Holded

  2. Select your order

  3. Modify its status, no matter which one you select, and click "Update".

  4. Mark the status as Completed again and click "Update" again.


Why aren't my orders being imported into Holded as an invoice or sales receipt?

If your orders are not being imported correctly into Holded as invoices or sales tickets, here we explain the possible causes and how to solve them.

  1. Order status: if you have configured the synchronisation of orders as invoices or sales tickets, bear in mind that they will only be imported when the order is marked as "Completed" in WooCommerce. If you have configured orders to sync as sales orders, then they will sync in any status (Completed, In Progress, or Refunded).

  2. Shop name change: If you have changed the name of your shop, it is possible that the synchronisation has been switched off in Holded. In this case, you will need to go through the integration process again with the new shop name. You can find the steps in this Academy article.

  3. Using multiple API Keys: If you have more than one API Key and you are using the second one in your shop, it is likely that the synchronisation will not work correctly. Remember that only one API Key is needed for all shops. If you have more than one, make sure you use the first API Key.

  4. Duplicate order number: if you use the same order number in different years, Holded will not import the order as a new one, but will update the original order with the information from the second one. For example, if you synchronised order 14470 on 09/10/2020 and then created another order with the same number on 10/12/2021, the information will be updated in the 2020 order instead of generating a new document.


How can I delete and re-synchronise my Orders / Invoices in Holded?

Firstly, make sure that those orders are removed from both the Invoices section and the Orders section. Next:

  1. Log into WooCommerce and click on "WooCommerce" in the left hand menu.

  2. Go to "Settings" and select "Holded".

  3. Click on the desired period to force orders to sync again.



Why are returns not syncing?

Currently, for WooCommerce integration, returns are not automatically imported. However, there are two options for managing returns in Holded:

  1. Perform a manual rectification from the document in Holded.

  2. Create a manual amendment directly in Holded or import it via an Excel file.



Why does the invoice date not match the order date in WooCommerce?

When importing an order as an invoice in Holded, the date on which the order was marked as "Completed" is taken, rather than the date of the order itself. If you want the invoice date to match the order date, follow these steps:

  1. Synchronise the WooCommerce orders in Holded as sales orders.

  2. Then convert the orders to invoices and make sure you select the option that keeps the date of the order.

This way, you can have the date of the order reflected on the corresponding invoice.



Do WooCommerce payment methods sync with Holded Payment Methods?

Yes, you can synchronise WooCommerce payment methods so that they are reflected in the Invoices or Sales Tickets that enter Holded with an assigned payment. This way, you will be able to link the payment method to a bank in Holded and make bank reconciliation easier.

☝🏼 Note that WooCommerce payment methods are not directly related to Holded payment methods, but to the banks registered in Holded.
