Efficiently customize, organize and manage your B2B catalogs

General catalog configuration

After creating your catalog, you can adjust the general preferences according to your business needs:

💎 Remember that you must have the Inventory and Catalog B2B gems enabled to access the configuration.

  1. Go to Inventory > B2B Catalog.

  2. Click on the cogwheel icon in the top right.

  3. Under “General Settings”, click on Settings.

  4. Under “Sales”:

    • Use the drop-down to assign a sales channel to catalog orders to later analyze sales in the “Analytics” section.

    • Import product description when creating orders from the catalog: enable this option so that the product description is automatically imported when creating an order from the catalog.

  5. Under “Products”, configure the product display options in the catalog by checking or unchecking the options:

    • Show prices: decide whether to show or hide product prices in the catalog.

    • Show prices with exchange rate applied: if you check this option, the product prices will be automatically converted to the customer's currency, according to the current exchange rate. For example, if a product costs 30 Euros, it will appear as $33.41 for customers in the U.S. Without this option, prices will be displayed in both currencies, but without any conversion.

    • Allow customer to select lot/SN when creating an order from the catalog: by enabling this option, your customers will be able to choose a specific lot or serial number when placing an order. However, we recommend that you leave it disabled so that you are the one to select the lot to be shipped once the order is received, ensuring more efficient control over your stock.

  6. Under “Stock”, configure the stock display options in the catalog:

    • Warehouse to subtract stock from orders: choose the warehouse from which stock will be subtracted when orders are placed through the catalog.

    • Warehouse to display stock: select the warehouse from which you want the product stock to be displayed in the catalog. If you choose “All warehouses”, the catalog will show the total summed stock from all warehouses.

    • Show product stock: allows the catalog to show the amount of stock available for each product.

    • Add to cart products with insufficient stock: enable this option to allow customers to add products to the cart, even if the stock is insufficient.

  7. Once you have adjusted all the settings, click Save at the top to apply the changes.

☝🏼 The general catalog settings apply to all catalogs you have created.


Preview, edit, or delete a catalog

In Holded you can easily create and manage multiple catalogs. To get started, go to Inventory > B2B Catalog in the sidebar.

💎 You must have the B2B Catalog gem enabled to access this functionality.

Here you will find a list of all the catalogs you have created (the first one is your general catalog). This list includes columns with the catalog name, the number of products, and the number of contacts you have shared the catalog with.

☝🏼 If you have not yet shared a catalog with any contacts, you will see a warning sign. You can click the link icon in the contacts column to share it directly. Learn how to assign the catalog to your contacts here.

From this view, you can easily manage your catalogs by performing any of these actions: preview, edit, or delete.

6.1. Previewing a catalog

To preview a catalog, follow these steps:

  1. Go to Invetory > B2B Catalog in the sidebar.

  2. In the line of a given catalog, click on “View catalog”.

    Once in the preview, you can:

    • Filter products: use the drop-down at the top left to filter your products by category or variant, which will make it easier to search and navigate through the catalog.

    • Switch between views: at the top right, you will find the “grid” or “list” view options. Choose the one that best suits your needs and preferences.


6.2. Editing a catalog

To edit a catalog, follow these steps:

  1. Go to Inventory > B2B Catalog, in the sidebar.

  2. In the line of a given catalog, click on the three dots button, and choose “Edit”.

  3. Make the necessary changes, and click “Save changes”.

6.3. Deleting a Catalog

To delete a catalog, follow these steps:

  1. Go to Inventory > B2B Catalog in the sidebar.

  2. In the line of a given catalog, click on the three dots button and choose "Remove".

  3. Confirm the action.

6.4. Duplicating a Catalog

To duplicate a catalog, follow these steps:

  1. Go to Inventory > B2B Catalog in the sidebar.

  2. In the line of a given catalog, click on the three dots button and choose "Duplicate".

  3. Make the necessary changes, and click “Create”.​


Order products in a catalog

Once you have added your products to the new catalog, you can sort them according to the order in which you want them to be displayed to your customers. There are two different ways:


Sort using the drag button

Within the edit mode of the given catalog, use the drag icon (six dots), to the left of the product line, to manually move a given product up or down.

Sort using the position indicator

If instead of dragging them to a specific position, you prefer to indicate the exact position you want them to occupy, you can do this:

  1. Check the box next to the number indicating the order of the product.

  2. At the top of the list, you will see “Move 1 product to:” with a drop-down showing the desired position (e.g. 3 of 50). Select the exact position where you want the product to appear, and click "Move".

☝🏼 You can adjust the catalog settings from the cogwheel button at the top right.
