1. Get ready for the time tracking law

As a supervisor, your main job is to make sure your team’s working hours are recorded correctly in case of external audits. That’s why Holded is getting ahead of the time tracking law by letting you:

  • Access your employees’ records securely, all in one place.

  • Validate clock-ins, breaks and full working days in real time.

  • Be fully covered for inspections or internal reviews, in line with current and upcoming regulations.

To review and approve the clock-ins of the people who work at your company, follow these steps:

  1. Go to My Zone.

  2. Click the Supervisor tab.

  3. Find Time tracking requests and click View all.

  4. Filter by dates and approve or reject each record as needed.

2. Other key actions

As well as reviewing clock-ins, you can handle several other tasks as a supervisor to keep information organised and your team on track:

  • Review and approve absence requests: go to My Zone > Supervisor, find Absence requests and click View all, then approve or reject.

  • Check the Your team view to monitor time tracking, roles, workplaces and past or upcoming absences.

  • Filter by date and export reports on your team as PDF or Excel to keep all the information in one place.

  • Monitor employees who work remotely, making sure their records are complete and reliable.

3. Best practices

To keep effective track of your team’s working hours, we recommend following these guidelines:

  • Review your team’s clock-ins and requests daily to keep information up to date and spot any issues.

  • Approve or reject absence requests quickly to avoid scheduling conflicts within your teams.

  • Use the Your team view to monitor time tracking, roles, workplaces, past or upcoming absences and incomplete working days.

  • Keep every change traceable: the clock icon shows when a clock-in has been edited manually, so the history stays reliable.

  • When reviewing clock-ins, you can view the summary of each record, edit or add time slots, and use the available shortcuts to add or delete clock-ins quickly.

  • Remember that approved or rejected clock-ins can’t be modified, which keeps records secure and reliable.

  • Export reports regularly as PDF or Excel to keep an accessible record you can share with your team or management.

  • Pay special attention to employees who work remotely, making sure their records are complete and consistent.

  • Make the most of the automatic checks: the system detects inconsistencies, such as overlapping clock-ins, and alerts the supervisor so they can be fixed in time.

By following these recommendations, you can manage your team’s time tracking efficiently, anticipate problems and keep a reliable history that complies with current regulations.
