Manage multiple contracts per employee

Chain contracts for the same employee without altering their past holidays, clock-ins or shifts

Written by Rubén

If you manage your employees' contracts from HR, with multi-contract an employee can have several consecutive contracts over time. Holded calculates each day with the contract in force on that date, so a new contract doesn't recalculate previous days with its conditions.

1. How each day is calculated with multiple contracts

With multi-contract, Holded calculates each day with the data of the contract that covers that date. Holded takes 3 pieces of data from the contract in force:

  • The working hours type (full or part time).

  • The working days.

  • The hours.

Replaced and inactive contracts

Holded applies 2 rules to replaced and inactive contracts:

  • A replaced contract keeps covering its period until the start date of the next contract.

  • A contract with Inactive status doesn't cover any day until you approve it.

Days without a contract

A day not covered by any contract is a gap between contracts. Days without a contract have 3 effects:

  • They have no expected hours.

  • They don't generate overtime.

  • They don't add holiday days.

2. Add, approve and end a contract

Add a contract from the employee profile

To add a contract from the employee profile, follow these steps:

  1. Go to Holded > HR > Employees.

  2. Open the employee profile.

  3. In the Contract card, click + Add contract.

  4. Fill in the contract details.

  5. Enter the Contract start.

  6. Click Create.

Add a contract from Contracts

To add a contract from Contracts, follow these steps:

  1. Go to Holded > HR > Contracts.

  2. Click New contract.

  3. Fill in the contract details.

  4. Enter the Contract start.

  5. Click Create.

Approve a contract

A new contract doesn't cover any day until you approve it. To approve a contract, follow these steps:

  1. Open the contract.

  2. Click Approve.

🚨 An approved contract can no longer be modified. If an approved contract contains an error, create a new contract with the correct details. Keep in mind that Holded doesn't allow two active contracts on the same dates.

Approve a contract when the employee has their own schedule

If the employee has a schedule set up in their profile, when you approve the contract you'll see the warning This employee has their own schedule set up. The warning doesn't prevent you from approving the contract.

The schedule set up in the employee profile takes precedence over the contract hours on all dates, past and future. Approving the contract doesn't change the schedule in the employee profile.

End a contract

To end a contract, follow these steps:

  1. Open the contract.

  2. Click End contract.

  3. Enter the End date.

When you end a contract, Holded closes only that contract. If you have already created a later contract, it remains unchanged.

3. Holiday balance and seniority with multiple contracts

How the holiday balance is calculated

When a year is split across several contracts, each contract adds the holiday days corresponding to the part of the year it covers. Holded applies 3 rules to the holiday balance:

  • Holded rounds the holiday balance only once, on the total for the year.

  • The working hours type doesn't change the holiday days: a part-time contract adds the same days as a full-time contract.

  • A gap without a contract doesn't add holiday days, so the balance may be lower than the days in the policy.

For example, with a 23-day policy and two half-year contracts, the holiday balance is 23 days: each contract adds 11.5 days. If Holded rounded each contract separately, the balance would be 24 days (12 + 12).

How accrued days and seniority are calculated

Holded counts accrued days from the earliest start date of the employee's current period, not from their latest contract. Holded groups contracts into periods based on the time between them:

  • Two contracts separated by one month or less form the same period.

  • Two contracts separated by more than one month open a new period and reset seniority.

If you have manually changed the Seniority date of any contract, Holded uses the earliest seniority date in the period.

4. Record absences with multiple contracts

When you choose the dates in the absence form, Holded shows a warning based on the employee's contracts. You can open the absence form in 2 ways:

  • From Holded > HR > Absences, with the Add absence button.

  • From the employee profile, with the + > Absences button.

Absences that cross a contract change

If the dates of an absence cross a contract change, you'll see the warning These dates cross a change in the employee's contract. Holded calculates the days with the contract in force on each date and you can save the absence. To see how many days each contract adds, click View breakdown by contract.

Absences on dates without a contract

If no contract covers the dates of an absence, you'll see the warning No contract covers these dates and you won't be able to save the absence. There are 2 types of dates without a contract:

  • A gap between two contracts.

  • Dates after an ended contract with no later contract.

To record the absence, choose dates covered by a contract. The restriction on dates without a contract applies to all absence types.

Justified sick leave with a contract end date

If the employee's contract has an end date, a justified sick leave cannot go beyond that contract's end date.

5. Review absences calculated with a previous contract

Holded saves the days of an absence at the time it is requested. If the employee's contract changes afterwards, the absence shows the warning This absence uses a previous contract, with the Recorded days and the Correct days.

Keep in mind that the absence details show the days calculated when it was requested, while the balance and the absence list already use the contract in force.

Adjust a pending absence

To adjust an absence with Pending status calculated with a previous contract, edit the absence.

Adjust an approved absence

To adjust an absence with Approved status calculated with a previous contract, cancel the absence and create it again.

Warning for supervisors

Supervisors see an equivalent warning on an absence request calculated with a previous contract before approving it.

6. Clock-ins with multiple contracts

For clock-ins, Holded uses the contract in force each day for 4 elements of time tracking:

  • Expected hours.

  • Overtime.

  • Schedule compliance.

  • Reports.

Correct clock-ins from a replaced contract

You can correct clock-ins for a period covered by a contract that has already been replaced.

Clock-ins on days without a contract

A clock-in cannot be recorded on a day without a contract. If you try to record a clock-in on a day without a contract, you'll see the warning The employee doesn't have an active contract for these dates, with the affected dates.

Keep in mind that time clocked on a day without a contract doesn't count as overtime.

7. Shifts with multiple contracts

View planned hours by contract

In the Shifts week view, if an employee's contract changes mid-week, the employee's hours indicator shows the ⇌ icon. To view planned hours by contract, follow these steps:

  1. Go to Holded > HR > Shifts.

  2. Select the week view.

  3. Click the ⇌ icon on the employee's hours indicator.

  4. Review the assigned hours against the contract hours.

The planned hours by contract detail shows 3 sections:

  • Previous contract.

  • Current contract.

  • Week total.

Excess hours warning

In the planned hours by contract detail, the excess warning icon appears only on the section that exceeds its contract hours.

Shifts on days without a contract

If you assign a shift on a day without a contract, you'll see the issue No contract that day. To assign the shift anyway, click Continue anyway.

Views with a single hours figure

The hours breakdown by contract only appears in the Shifts week view. These 3 views show a single hours figure even if the contract changes during the week:

  • The day view.

  • The month view.

  • The PDF.
