My Zone: view your absences and clock-ins with multiple contracts

Understand your holiday days and your clock-ins when you have had more than one contract

Written by Rubén

If you are an employee and have had more than one contract at your company, Holded calculates each day with the contract in force on that date. Your holiday days and your expected hours follow the conditions of the contract for each date.

1. View your holiday days by contract

To view the holiday days you are entitled to under each contract, follow these steps:

  1. Go to Holded > My Zone > Absences.

  2. In Days summary, click View policy.

  3. In Summary of your absences, go to the Days you are entitled to by contract section.

  4. Click View more.

Keep in mind that the Days you are entitled to by contract section only appears if the year you are viewing has two or more contracts.

Read the breakdown of days by contract

In the Days you are entitled to by contract section, each row shows a period and the days you are entitled to under the contract for that period. A period without a contract appears with 0 days and an ⓘ icon. When you hover over the icon, you'll see the text No contract in this period.

Keep in mind that the days for each contract are for information only and, due to rounding, may not add up exactly to the total. The total days in the summary is your actual holiday balance.

Review an incorrect balance or period

Your company's HR team manages your contracts. If a period or a holiday balance is not correct, check with your company's HR team.

2. Request an absence with multiple contracts

When you choose the dates in the absence request form, Holded shows a warning if the dates affect your contracts.

Absences that cross a contract change

If the dates of your absence cross a contract change, you'll see the warning These dates cross a change in your contract. Holded calculates the days with the contract in force on each date and you can send the request. To see the days for each contract, click View breakdown by contract.

Absences on dates without a contract

If no contract covers the dates of your absence, you'll see the warning You don't have any contract covering these dates. To send the request, choose dates covered by one of your contracts.

Availability of the absence request button

The Request absence button (the + icon at the top of My Zone) is active in a year if you had a contract at any point during that year.

3. Review absences calculated with a previous contract

If your contract changed after you requested an absence, you'll see the warning This absence uses your previous contract, we suggest you review it.

Pending absences

If the absence calculated with your previous contract still has Pending status, cancel the absence and request it again.

Approved absences

If the absence calculated with your previous contract already has Approved status, your company's HR team can adjust it.

4. Clock-ins with multiple contracts

In Holded > My Zone > Time tracking, your expected hours and your overtime are calculated with the contract in force each day.

Clock-ins on days without a contract

You can't record clock-ins on days not covered by any contract. If you clock in on a day without a contract in force, you'll see the warning You don't have a contract in force today. Your clock-in has started anyway.

Keep in mind that time clocked on a day without a contract doesn't count as overtime.
