The Balance Sheet

Learn how to correctly consult the balance sheet of your business's accounting situation.

Written by Carlota

The Balance Sheet shows the relationship between your company’s assets (what the company owns or is entitled to), liabilities (debts and obligations) and equity (own funds, or financing that doesn’t have to be repaid) at a specific date.

In accounting terms, the Balance Sheet shows how the company’s assets, liabilities and equity relate to each other. Together with the Profit and Loss account and the notes to the financial statements, it makes up the annual accounts.

How to access the Balance Sheet

  1. Go to Analytics > Reports.

  2. Find Finance in the list on the left and click Balance Sheet.

The report toolbar

At the top of the report there’s a toolbar with five controls, from left to right: Period, Filter, Breakdown, Comparison and Show. You can combine them. Each button shows what’s currently applied (for example, 2026, No filter or No comparison), so you always know what you’re looking at.

1. Period

The first button shows the selected period (the current year by default). Click it to choose:

  • This month

  • This quarter

  • This year (default)

  • Previous year

  • Years: pick a specific fiscal year.

  • Quarters: pick a specific quarter (Q1, Q2, Q3 or Q4).

  • Months: pick a specific month.

  • Custom range: set a start date and an end date.

2. Filter (by tags)

Use the No filter button to limit the report to entries that have certain tags. Tags let you label contacts, products, documents and journal entries in Holded, so you can analyse your data by those labels later.

  • Use the Search tag… box to find a tag and select it from the list. You can select more than one.

  • Under Match, choose how the selected tags are combined:

    • All (AND): only records that have all the selected tags are included.

    • Any (OR): records that have at least one of the selected tags are included.

💡 Example: if you select the tags Galicia and Hosting, All shows only entries that have both tags. Any shows entries that have either tag or both.

3. Breakdown

The No breakdown button adds columns to the report that split the amounts along one or more axes:

  • Period: splits the amounts into time intervals within the selected period.

  • Tag: splits the amounts by tag.

  • Opening balance: separates each account’s balance at the start of the period from the movements during the period.

You can turn on one axis or more. Order matters: the first axis you select is the main level of the breakdown, and the next ones are nested inside it. For example, Period → Tag shows each period split by tag, while Tag → Period shows each tag split by period.

4. Comparison

The No comparison button lets you compare the period’s amounts against another reference. You can choose only one option at a time:

  • No comparison: shows only the amounts for the selected period (default).

  • Monthly: one column for each month in the period.

  • Previous year: compares with the same period of the previous year (for example, if you’re viewing 2026, it compares with the same period in 2025).

  • Target: compares with the budget set for each item.

  • Last 5 years: one column for each of the last five years, to see how your assets, liabilities and equity have changed over time.

5. Show

The Show button controls what the table displays and which journal entries are included. You can turn each of these options on or off:

Option

What it does

Default

Show accounts with no value

Includes accounts, groups and headings even when they have no amount.

Off

Show account numbers

Shows the account number next to its name (for example, 4720000000 Input VAT).

On

Show decimals

Shows amounts with decimals instead of rounded.

Off

Show cumulative balance

Shows the balance accumulated since the start of the fiscal year.

Off

Show adjustment and closing entries

Includes the year’s adjustment (regularisation) and closing entries.

Off

Show opening entry

Includes the year’s opening entry.

On

ℹ️ The journal entry options are useful once you’ve closed the fiscal year. If you turn on adjustment and closing entries, the Balance Sheet shows the accounts as settled after closing. If you leave them off, you’ll see the position for the year before closing.

View the detail of each item

The report follows the structure of the Spanish General Chart of Accounts (PGC): balance sheet sections (for example, Current assets), headings (for example, III. Trade and other receivables), sub-headings (for example, 1. Trade receivables for sales and services), accounts and sub-accounts. Customer and supplier sub-accounts appear under the contact’s name. You can expand or collapse each block with the arrow next to its name.

Click an account or a result to open its general ledger, which lists every entry posted to that account.

Search for an item

On the right there’s a Search item… box. You can search for an account or group by keyword, amount or account number.

Export

Click Export to download the Balance Sheet in Excel or PDF. The export uses the settings you have applied at that moment: period, filters, breakdowns, comparison and display options.
