Set up the basics and invite your team to work with Holded

Once your account is created, go to the Holded home page and log in to start setting up the basics.


1. Set up your business details

To set your account details to Holded, follow these steps:

  1. Enter your account information, including company name, NIF, email, phone and profile picture.

  2. Add the billing address, city, postal code, province, and country.

  3. Select the currency you want to work in and set your date and language options.

  4. Click "Save" to save your changes.

Fill in information accurately and thoroughly to ensure that your invoices and financial documents accurately reflect your business information.


2. Customize your invoices

Holded allows you to customize your brand image using the option Document Templates.

Choose from more than 50 template models, and use the available options to customize the design of your invoices, including your company logo, color, font, and other advanced options. You can apply the templates saved in "Document format".


3. Link your banks and add payment methods

Linking your bank accounts in Holded gives you a clear and up-to-date view of your finances, improves the accuracy of your financial records, and makes reporting and analysis of your financial situation.

In the section "Banks", you can add a bank account, credit card, payment gateway, or cash. Once you've completed the authorization process, your bank account will appear in the list of linked accounts in Holded.



Once you have created your first bank and your first cash account, you can proceed to enter the payment methods. From "Payment Methods", select the payment method you want to add, such as credit or debit card, PayPal, or Stripe.

The payment methods make it easy to carry out transactions and pay bills and purchases quickly and conveniently.


4. Invite your team

From Settings > Users, you can invite other members to work with you by adding their email address and assigning them a role (Admin, Finance, Sales, HR, Projects Member, or CRM Member).

The user will receive an email invitation to join your team on Holded. Once you accept the invitation, you will be able to log in to Holded and start using the tool.


☝🏼 It is important that you assign appropriate user roles to each member of your team to ensure that each one has access to the functionalities and data you need to do your job.


5. Import your data

One of the advantages of working with Holded is that you can import all your information to the platform through Excel files (CSV, XLS, or XLSX). In this way, you can start working comfortably without wasting a second. Learn how to import your information here.


6. Integrations and Gems

In the Holded Store, you will find a wide variety of applications and tools that you can purchase and use to improve and optimize your business management platform.

There are two types:

  • Gems are a type of resource that can be acquired or unlocked to access certain platform features.

    There are blue gems (free) and red gems (paid), divided by areas so that you can activate those that best suit the needs of your company. Learn how to activate them here.

  • Integrations allow information from other applications or third-party tools to be displayed and used in Holded, or actions taken in Holded to be reflected in those applications.

    They are very useful to save time and effort and ensure the consistency of the information in all the tools that your company uses. You can choose from dozens of ready-to-use applications:


7. Protect your account

In addition to your password, two-step verification (2FA) adds an extra layer of security to your user's login on Holded to ensure the protection of your account.

This type of verification via SMS ensures that you are the only person who can access your account, even if someone knows your password. Learn how to set up two-step verification (2FA) here.
