Import and export your accounting entries

In just a few clicks, you will be able to move all the seats of your company and continue recording new movements.

To import your accounting entries into Holded, you will need to:

  1. Download the template in Excel format from Menu> Import>Journal.

  2. Complete the import template (see guidelines below).

  3. Rename and save the template in Excel format on your computer.

  4. Upload your template.

Please note that when importing, large volumes of information are transferred from a file to the platform, so this action will take a few minutes to complete. Once completed, all data will be centralised in Holded and you will be able to start working on the platform.

Guidelines for completing the import template

Listed below are the fields contained in the import template and the data to be included in each field. Fields marked with an asterisk are mandatory(*).

  • Entry number*: enter the number that identifies each entry. You will be able to renumber the entries automatically after completing the import.

  • Date*: always use the same date for each line of a journal entry.

  • Name of the accounting account*: complete with the name of the account linked to the entry and following the classification of the chart of accounts.

  • Number of the accounting account*: enter the number of the accounting account in which the entry has been recorded. By default, Holded works with 8 digits. If you need to increase this number, do so before you start creating invoices or journal entries.

  • Debit*: includes the amount without full stops and indicates decimals with commas.

  • Credit*: includes the amount without points and indicates decimals with commas.

  • Description: indicates if it is an entry with different journal entries.

  • Tags: add all the tags you want separated by dashes. You can use them to create categories and analyse the evolution of your business.

  • Notes: use this field to record information for each journal entry.

  • Type of entry: indicate the nature of the entry and record each transaction in an orderly fashion. When entering the classification, the first letter must always be capitalised. If the field is left empty, it will be automatically filled in as a Journal Entry. The entries available in Holded are: Journal Entry, Opening Entry, Closing Reg. Entry (designates the regularisation entry), Closing Entry, Collection, Invoice issued (designates an invoice), Invoice received (designates a purchase) and Payment.

  • Dotted: if you add 0 in this column, the journal entry will be imported as not dotted. If you add 1, it will be imported as dotted.


How to export the journal

Before you start exporting the journal, it is important that you apply the filters based on the information you want to download, otherwise the entire journal will be downloaded.

Therefore, it is advisable to:

  • Filter by dotted and non-dotted entries to verify that all entries are correctly computed and treated.

  • Define a key figure for the analysis of your journal entries and filter according to whether they are greater or less than that figure (debit).

  • Define a key figure for the analysis of your journal entries and filter according to whether they are greater or less than this figure (credit).

  • Filter according to the nature of the entry (type), whether it is an invoice issued or received, opening entry, closing reg. entry, journal entry, payment and collection, among others.
