Import your business information

Holded allows you to transfer the data about your activity in an orderly and secure way. Learn how to do it in three steps.

1. Download the import template

Imports are carried out through different templates in Excel format that you can download from Menu > Import.

Once there, choose the template that suits your needs and download it. Each template has a specific design depending on the document to be imported, whether they are accounting accounts, sales and purchase invoices, products, contacts, etc.

2. Complete the template

When you open the Excel file you will find a template made up of several columns with mandatory (*) and optional fields. Copy and paste the data from your files into the appropriate fields.

You can leave fields blank, but you should not delete or modify a column. If you modify its name or position, Holded will not be able to read the file. Below you will find an example of an invoicing template.

3. Upload the template to Holded

After completing the template, save it in Excel format on your computer. Name the document so that you can easily identify it and upload it to Holded.

Finally, please note that importing a file takes a few minutes to complete. When finished, the data will be centralised in Holded and you will be able to start working with it from the platform.


In what order should the documents be imported?

Now that you are familiar with the logic of importing, it is important to mention that there is a specific order to perform this process. This is because Holded integrates and links all the information so that you can automate the tasks.

Below, you will find a detailed import order along with a series of recommendations and articles that will help you to solve each case. Follow this order so that the information is correctly integrated and you can make the most of the platform.

Import order:

  1. Accounting accounts: make sure that your accounts match those in the template.

  2. Contacts: fill in the NIF/CIF field to link the information.

  3. Products: fill in the SKU field to integrate your e-commerce platforms.

  4. Sales: import your sales invoices first, then all other documents.

  5. Expenses: import the purchase invoices first, and then the pay slips, receipts, etc.

  6. Assets: transfer your assets to Holded and follow their evolution in the Analytics section.

  7. Journal: importyour accounting entries and keep your accounting in real time.

  8. Team: if you have employees, import their data and manage their payroll, projects, etc.

  9. Sales funnel (CRM): select a sales funnel and complete the template.
